PRIVACY STATEMENT POLICY: This policy deals only with personal information handled by the Zonta Club of Warren. Personal information is defined as information about an identifiable individual, excluding business contact information. Accountability: The Zonta Club of Warren is accountable for all information under its control, to include personal and business information shared amongst its members. Purpose of Personal Information: The purpose for which the Zonta Club of Warren (the club) collects personal information will be identified at or before the time the information is collected. The club may collect personal information for the purposes of: Administering membership and providing member services Registering for events Purchasing various products or services including document certification Processing and administering the above or other purposes as necessary The Zonta Club of Warren will not use personal information for any other purpose that identified at or before the time of collection. Consent: The Zonta Club of Warren seeks consent for all personal information collected, used and disclosed through information provided to individuals prior to collection, or at the time of collection. Limits for Collection, Using, Disclosing and Keeping Personal Information: We retain personal information only as long as is necessary to provide the individual with the requested product, service or information and delete or destroy this information after that time. In some cases, however, legal reporting and retention requirements necessitate that the club retains information for a period no longer than two years. The Zonta Club of Warren does not sell or trade any personal information with third parties. The club may transfer information to service providers where information processing is outsourced in the course of its administrative procedures or member services in specific areas. Any personal information that the Zonta Club of Warren retains is kept in such a manner as to ensure its security and confidentiality. Safeguarding and Accuracy of Personal Information: The Zonta Club of Warren respects the privacy of our members, partners, potential website visitors and internet users and will protect that privacy as vigorously as possible. The club makes every effort to keep personal information as accurate, complete, current and relevant as necessary for the identified purposes. CONFLICT OF INTEREST
Definition: A conflict of interest is any situation in which an individual, by virtue of their position, has or may be perceived to have a private or personal interest.
Policy Statement: All Board and Club members are required to perform their duties and functions impartially and responsibly with integrity and in a manner that will withstand public scrutiny. No member will solicit or accept, for personal or financial gain, a fee, gift or benefit that could influence decisions or affect their duties or functions.
Procedure: When appropriate and or necessary the President will ask the membership for a declaration of conflict of interest. Any member who has a real, apparent or perceived conflict of interest in any Board or Club transaction shall declare and explain the conflict. The individuals may be asked to remove themselves from deliberations or abstain from discussion and/or voting on the subject of conflict. If any member has an undeclared conflict of interest, as determined by the President, which affects decisions or judgments, they may be removed from their voting position by a majority vote of the club membership present and voting.
